Purpose of processing

The purpose of processing your personal data is to enable your participation in the digital event conducted through this event platform. In order for you to participate in the digital event, you must first register on the Event Platform. During the execution of the event, various tools are used on the event platform to offer you the following services. Livestreams, chats, polls, video chats, online meetings and video conferences. In addition, you have the possibility to provide various details about your user profile. Finally, web analytics tools may be used.

What data is processed?

When registering for the event platform, the following types of data are potentially collected and processed: Email address, first and last name, department, company, position, country, state, city and type of participation.

Various types of data are processed when using the event platform. The scope of the data also depends on the information you provide during participation in the digital event on the event platform. The following personal data are subject to processing:

  • User details (optional): profile picture, birthday, telephone number, department, address data, Facebook, Instagram, LinkedIn. Twitter profile, as well as other information you may provide about yourself.
  • Event metadata: Topic, description, attendee IP addresses, device/hardware information, date/time of event platform visit.
  • For recordings (optional): files of all video and audio recordings, text file of event chat.

Text, audio and video data: you have the opportunity to use the chat, question or survey functions during an event. To this extent, the text entries you make are processed in order to display them on the event platform and, if necessary, to record them. In order to enable the display of video and the playback of audio, the data from the microphone of your terminal device and from any video camera of the terminal device will be processed accordingly for the duration of the event. You can switch off or mute the camera or microphone yourself at any time using the applications provided for this purpose.

Legal basis for data processing

The legal basis for data processing in connection with registration for the event and its implementation on the event platform are the legal provisions of Art. 6 para.1 lit. b (Inquiries and contractual relations) of the General Data Protection Regulation (GDPR).

Legal bases for storing data following the event: We have a legitimate interest in exercising legal claims or defending against legal claims. In this regard, the data processing is carried out on the legal basis of Art. 6 para. (1) p. 1 lit. f) GDPR. The legal basis for the storage of your personal data under tax law is Art. 6 para. (1) p. 1 lit. c) GDPR in conjunction with §§ 147 AO, 257 HGB.

Data transfers to a country outside the European Economic Area

When using some of the tools on the Event Platform, your personal data may be transferred to servers of a third-party provider whose servers are located in the USA or another third country (i.e. a country outside the European Economic Area (EEA)). We would like to point out that there is no adequate level of data protection in the USA comparable to that in the EU. Therefore, there is a risk for you of governmental access to this data. This risk may also exist with regard to other third countries. The permissibility of these data transfers to the USA and other third countries concerned follows, if you have given your consent, from Article 49 (1) sentence 1 lit. a) GDPR, or, in the other cases where consent is not given, from the conclusion of so-called EU standard contractual clauses.

How long will your personal data be stored

The data collected when registering for the event platform will be processed for the duration of the digital event and then stored 6 months. The data collected when using the event platform will be processed for the duration of the digital event and then stored for a period of 6 months.

Data subject rights

You are entitled to the following statutory data subject rights, provided that their conditions are met:

  • Right to information about your data stored by us in accordance with Art. 15 GDPR,
  • Right to correction of inaccurate data in accordance with Art. 16 GDPR,
  • Right to delete the data stored by us in accordance with Art. 17 GDPR,
  • Right to restrict the processing of data stored by us in accordance with Art. 18 GDPR,
  • Right to data portability in accordance with Art. 20 GDPR,
  • Right to object pursuant to Art. 21 GDPR,
  • Right to lodge a complaint with a competent supervisory authority pursuant to Art. 77 GDPR if you are of the opinion that the processing of personal data concerning you violates provisions of the GDPR.

Right to object

Insofar as your personal data is processed on the basis of legitimate interests pursuant to Art. 6 (1) p. 1 lit. f) GDPR, you have the right to object to the processing of your personal data pursuant to Art. 21 GDPR, insofar as there are grounds for doing so that arise from your particular situation. If you object, your personal data will no longer be processed by us unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms.

Revocation of your consent

You may revoke your consent to the processing of personal data in whole or in part at any time. However, the revocation of consent does not affect the lawfulness of the processing carried out on the basis of the consent until the revocation.
